Who controls workspace data
The Workspace Owner decides which customer, employee, vehicle, invoice, payment, document and showroom information is entered into JANVIXO and who may access it. The Workspace Owner must have a lawful reason and any permission required to collect, use and share that information.
Information we process
We process account and login details, workspace membership, customer contact details, enquiries, follow-ups, products, orders, invoices, payment entries, insurance or service records where enabled, uploaded documents, showroom content, device notification tokens and technical logs needed to provide and secure the service.
How information is used
Information is used to operate JANVIXO, show authorised workspace records, create requested documents, send enabled reminders, prevent misuse, troubleshoot problems and improve reliability. We do not sell workspace customer records.
Cookies, app storage and notifications
JANVIXO uses a strictly necessary session cookie, normally retained for up to 30 days, to keep users signed in, protect account access and remember the active session. The current service does not use optional advertising or marketing cookies.
When JANVIXO is installed or used as a web app, the browser may store public app files in its cache so the interface can start reliably. Authenticated workspace records are not deliberately saved in the service-worker cache. Users can remove this cached app data through their browser or device settings.
Phone and browser alerts are optional. If a user enables alerts, the browser and Firebase create a device notification token that JANVIXO stores to deliver permitted reminders and workspace updates. Notification permission can be withdrawn at any time through browser or device settings.
Digital Showroom visit counts
Public Digital Showroom pages keep limited visit statistics so a Workspace Owner can understand showroom use. JANVIXO combines the visitor's IP address and browser information into a one-way identifier used to count visitors and avoid duplicate counts; the underlying IP address and browser string are not stored in the showroom visit record. Showroom pages are marked not to be indexed by search engines.
Access and sharing
Workspace Owners control employee access and should remove access promptly when it is no longer required. Information may be processed by hosting, database, payment, notification or support providers only where needed to operate the service, or disclosed when required by law.
Retention, deletion and backups
We retain information while an account is active and for a reasonable period needed for security, recovery, dispute handling and legal obligations. Some invoice, payment, audit or backup records may remain for the period required by applicable law. Deletion from the live workspace may not remove a record immediately from restricted backups.
An account with no Owner or team activity for 30 days may be marked for administrative review, but inactivity alone does not cause immediate deletion. JANVIXO may send warnings, suspend expired or unpaid access and schedule an otherwise eligible inactive account for deletion. A scheduled account receives a further recovery window of at least 30 days before any permanent action. Active paid accounts are not deleted merely because the Owner has not logged in.
Deletion is blocked or limited while the account has an active subscription, invoices or subscription-payment history that must remain reviewable, referral wallet or withdrawal activity, an active custom domain, a security or support dispute, a legal hold, or records that JANVIXO must retain for tax, accounting, fraud prevention, audit or legal claims. Where full deletion is not permitted, access may be disabled and personal information may be minimised while required records are retained securely.
Before permanent deletion, the Workspace Owner should export every record and file they need. Permanent deletion removes eligible live workspace data and uploaded files and cannot be undone after the recovery window. Restricted backups may retain encrypted copies until their normal backup rotation expires; those copies are not restored for ordinary product use.
JANVIXO is not the Workspace Owner's only statutory archive. Owners must maintain their own exports, source documents and recoverable backups for every period required by tax, accounting and other applicable laws.
Security and incidents
We use reasonable technical and organisational safeguards, but no online service can guarantee that loss, unauthorised access or interruption will never occur. Users must use strong passwords, protect their devices, keep employee access current and report suspected misuse promptly.
Your choices and requests
Workspace Owners can correct many records and manage employee access inside JANVIXO. For access, correction, account deletion or privacy questions that cannot be completed in the product, contact Support using the details on the Contact page. A request may be limited where retention is required by law or needed to establish or defend legal claims.
Changes
We may update this policy when the service or applicable requirements change. The updated date will appear above, and material changes may also be announced inside JANVIXO.
